Agenda lifecycle in Stride

This guide explains how agendas move from first draft to final circulation in Stride, with a dedicated step to finalize attendees and send final invites before running the live meeting. Use it to coach organizers and board admins on the recommended workflow.

1. Draft the agenda

DRAFT
  • Create the meeting and add agenda items, owners, prep work, and estimated durations.
  • Tag likely attendees if helpful, but this is optional at draft time.
  • Use an optional Save the Date to block calendars early while agenda details are still evolving.
  • You can freely edit, reorder, and delete items while the meeting is in DRAFT.
  • Use templates to keep recurring meetings consistent.

2. Collect feedback

FEEDBACK_REQUESTED
  • From the meeting header, click “Collect feedback”.
  • Select one or more invitees, optionally set a feedback deadline, and add a custom message.
  • Stride emails the selected invitees with a link to the agenda so they can review and leave feedback.
  • Invitees can submit feedback directly on the agenda while the meeting status is FEEDBACK_REQUESTED.

3. Approve the agenda

FEEDBACK_REQUESTED -> COMPLETED
  • Incorporate feedback, edit and reorder agenda items, and close open comments.
  • Use the Agenda Status panel to see who has responded and what they said.
  • As the agenda editor, mark feedback as Done once addressed.
  • When ready, use Complete Agenda to lock scope and move the meeting to COMPLETED.

4. Finalize attendees and send final invites

COMPLETED -> CIRCULATED
  • Open the planner's Step 3 (Finalize attendees) and review invitees before circulation.
  • Pre-select people assigned agenda sections as Required, then adjust Optional and Observer roles as needed.
  • Send final invites by circulating the agenda so participants receive the finalized meeting pack.
  • All existing feedback remains attached to the meeting and visible in the Agenda Status panel.

5. Run the meeting in Presenter mode

CIRCULATED -> IN_SESSION
  • Start the session to enter Presenter mode with the active agenda topic, decisions, attachments, and quick meeting controls.
  • Use Presenter mode to launch video links, open supporting files, and capture live notes topic-by-topic.

6. Finalize minutes and approvals

IN_SESSION -> HELD -> MINUTES_SUBMITTED
  • End session when the live discussion is complete. This transitions the meeting to HELD for post-session editing.
  • Finalize minutes, then submit for required board approvals.

Reopen when needed

  • Sometimes boards or exec teams need last-minute changes after circulation.
  • You can click Reopen Agenda from the meeting header while status is CIRCULATED, COMPLETED, or HELD.
  • Reopening returns the meeting to DRAFT so agenda editing and another feedback loop can continue.
